First Class Lacrosse Proposal

Overview

What's up fellas,

I'm excited about the opportunity to keep working together into 2025 after everything we've accomplished over the past few years.

The transfer of quick-hitting HubSpot tasks to Adam over the past year went really well, allowing me to focus on expanding, improving, and maintaining the heavy-lift items like CRM maintenance, workflows, email sequences, properties, forms, contact quality, blog maintenance, and landing page upkeep.

I value the transparency in our relationship above all else, so this proposal is short and sweet. Let's get down to brass tacks.

Needs and Solutions

 

Wild Rover Tasks

Here are the items I will continue to prioritize for you:

  1. HubSpot Maintenance (CRM Quality, App Integrations, Workflows)
  2. Website Maintenance (Website Pages, Landing Page, Blog Management)
  3. Marketing Templates (Emails, Texting, Blogs and Landing Pages)
  4. BIC Event Marketing (Emails, Workflows, Invite Sequences, Combines)
  5. Support Flow (Chatbot Support, Self-Service Portal Tickets, Sakari SMS)
  6. Importing Contacts (Scrubbing, LeagueApps Zap, Subscription Buckets)

FCL Staff Tasks

Here are the items that Adam and Stephen continue to handle:

  1. Weekly Thought Email
  2. Event Emails (Camp, Weekly Trainings etc.)
  3. Shopify (Design, Settings, Tickets, Merch, Pipeline in HubSpot)
  4. Graphics for Site (Including Canva, Needs Sent to Charlie, Led by Adam)

Here are the items that we've removed from our past retainer:

Here are the items that I propose for 2025:

  1. Re-purpose 2024's Top 26 Weekly Thought Emails into Blogs, publish every Monday
  2. Digital Products Email Sales Sequence for Athlete Program (if there's availability), Circle Coaching Community and Parent Panel
    1. The goal here is to create an ecosystem for "turning the faucet on" when rolling out new digital products.

Retainer Benefits

  • The busy times of year, like BIC (Fall, Committed, Winter, Summer) and digital product builds and rollouts, will balance out the slower times. This helps maintain a consistent pace of hours each month.
  • The task breakdowns aid in forecasting FCL's 2025 strategy to balance, manage, and allocate focus and budget effectively, as well as my own.
  • With Adam’s time increasingly occupied by Circle, social media, and the tasks listed above, the work that Dunn and I have done with the Support Flow will help eliminate the ticketing workload for both Adam and Stephen as well. The long term goal of this new backend is to mitigate the incoming flow to contact@1stclasslax.com.
  • All of this ensures that I remain available for major rollouts, updates, emergencies, and Air Raids.

The Value Aspects

  • Scalability: My focus remains on making HubSpot the "axe that chops the tree," meaning we avoid needing additional software or significant hires. This strategy grows in lockstep with the business, eliminating the need for ongoing full-time or part-time hires or software solutions to assist with our work in HubSpot.
  • Efficiency: My time is devoted to more complex, nuanced, and time-intensive tasks, while Adam and Stephen handle all quick, day-to-day tasks. Additionally, we’ve removed the Master Organizer, blog management, and contact list importing from Adam’s responsibilities, and I have taken on the remaining support responsibilities. This approach maximizes our time while working in HubSpot, creating a mutual benefit.
  • Continuity: Retaining these responsibilities with the current staff ensures continuity as we grow, expand, and improve across offerings, events, and systems. Over time, this well-oiled machine approach will make it easier to roll out larger events and hit benchmarks sooner.

Next Steps

  • Review: Take your time reviewing the proposal and provide any feedback that you may have over the coming days.
  • Follow Up: Before Monday, December 2nd, all revisions and or additions requested will be adjusted on the proposal. Target start date will be Wednesday, January 1st, 2025.
  • Agreement: Once the proposal is agreed upon, a quote will be generated and sent to you for an eSignature. Deemer, I will leave the Agreement + Non-Compete again to you.
